GuideTeam and contractors
Invite your team and set what they can do
Add a partner, a project manager, or a crew lead, choose their role, and pick the houses and tools each one gets.
- Where it is
- Account menu › Members
- Who can use it
- Owners and admins
One subscription covers everyone. Invite as many people as you work with; there is no charge per person.
The three roles
| Role | Sees | Good for |
|---|---|---|
| Owner | Everything, on every house. A workspace can have two owners. | You and a partner |
| Admin | Everything an owner sees, including money, members, and billing. Can't change or remove an owner. | A partner or an office manager you trust with the books |
| Team Member | Only the houses you tick, with the tools you leave on. Never the P&L, financing, contacts, or dashboards. | A project manager or crew lead |
A contractor is not one of these roles. Contractors get their own login that shows only their tasks; see Contractor logins.
Invite someone
- Step 1: Open the account menu (your initials) and choose Members.
- Step 2: Under Add person, type their Email and pick a Role.
- Step 3: For a Team Member, tick at least one house under Properties.
- Step 4: Choose Send invite.
They get an email with a Join workspace button. The link works once and lasts seven days. Dana invited her partner Marcus Bell as an Admin and her crew lead Luis Ortega as a Team Member on 1418 Maple Avenue only.
Until they accept, the invite sits under Pending invites. Resend sends a fresh link and the old one stops working. Cancel withdraws it.
Choose which houses a team member sees
- Step 1: On Members, find the person under People.
- Step 2: Tick or untick houses under Properties.
- Step 3: Choose Save role.
Owners and admins always see every house.
Turn tools on or off for a team member
Each team member has a box headed What they can use with six switches. Each one saves as you tick it.
| Switch | Covers |
|---|---|
| Board and schedule | Tasks, the timeline, and schedule templates |
| Budget and expenses | The budget, expenses, receipts, invoices, bids, and the shopping list |
| Deal analysis | Analysis, comps, and the walkthrough |
| Photos and updates | The photo log and daily updates |
| Documents | Contracts, permits paperwork, and other files |
| Change orders, punch, and permits | Job-site paperwork for the rehab |
When a switch is off, that tool disappears from the person's menu. If they follow an old link they see “An owner or admin turned this off for you. Ask them to turn it on in Members.”
What a team member can never do
- Open the P&L, Financing, Dashboards, the 1099 report, or Contacts
- Attach a receipt, pick a vendor on an expense, or import expenses
- Accept or reject a contractor's invoice
- Post an update, upload a document, or edit the deal analysis
- Add a house, invite people, or see billing
They can log an expense, work the board, run the walkthrough, and take photos on their houses.
Change a role or remove someone
- To change a role, pick the new one on the person's row and choose Save role.
- To remove someone, choose Remove on their row and confirm. They lose access at once.
- A workspace always keeps at least one owner, and you can't remove yourself.
