Get bids and print the scope of work

Hand contractors a scope with no prices on it, collect their bids on each line, and accept the one you hire.

Who can use it
Owners and admins send price requests. Team members can record and accept bids.

There are two ways to get prices on your scope. Print it and hand it over, or send a trade's lines to a contractor's login and let them type their prices. Either way the bids land on the budget lines, where you compare them.

  1. Step 1: On Budget, next to Scope of work:, choose Print.
  2. Step 2: Pick a Trade to print one category, or leave it on All trades.
  3. Step 3: Leave Show my budget unticked for a copy to hand out. Each line gets a blank “Your price” box and your own figures are left off.
  4. Step 4: Untick any of the Terms you don't want on the page.
  5. Step 5: Choose Print, or save it as a PDF from the print window.

The printed scope lists the work, room, and quantity for each line, six standard terms (permits, proof of insurance, written changes, lien waivers, cleanup, and payment on completed work), and signature lines for you and the contractor.

Ask a contractor for a price

This sends one trade's lines to a contractor who has a login. They see the line names, rooms, and quantities, and never your budget.

  1. Step 1: On Budget, choose Print and pick the Trade.
  2. Step 2: Make sure Show my budget is unticked.
  3. Step 3: Under Ask a contractor for a price, choose the Contractor and add a Note with walkthrough times or a deadline.
  4. Step 4: Choose the Send … to price button.

Tom Sayers at Sayers Electric gets an email, opens the electrical lines on his phone, types a price for each, and chooses Send prices. Each price appears as a bid on its line. The request then reads “Priced” with the date.

Record a bid by hand

  1. Step 1: On Budget, open the line's Details and choose Add bid.
  2. Step 2: Pick who it's From, or type a Name for someone not in your contacts.
  3. Step 3: Type the Bid amount, the date Received, and Notes on what's included.
  4. Step 4: Choose Save bid.

Bids list cheapest first, and the cheapest is tagged Lowest.

Accept a bid

Choose Accept on the bid you're hiring. Three things happen:

  • That bid is marked Accepted and the others on the line are marked Declined.
  • The line's budget becomes the bid amount.
  • Nothing is spent. Spent only moves when an expense posts.

You can accept a different bid later. Deleting a bid is immediate and doesn't change the budget amount an accepted bid already set.
